RENEWAL ALIGNMENT FORUM [2pt] Meeting 08: approved minutes, decision record and action log
Meeting details. Tuesday, 10:00–11:30; opened 10:07 after the previous governance meeting; chaired by Martin Hale, Programme Director; secretariat provided by the Renewal Transformation Office.
Standing purpose. Align renewal plans and dependencies. Functional approvals, assurance, priority and release controls remain with their holders.
Regular attendees. Programme, Renewal, Digital, Policy Technology, Operations, Underwriting, Architecture, Data, Compliance, Risk, Finance, Release, Customer Communications and the secretariat; fourteen in total.
Additional attendees for item 6. Policy engineer; data architect; customer-service manager; and four others. Two apologies were recorded and written comments circulated.
Agenda. Previous minutes and actions, ten minutes; programme status, ten; platform adoption, ten; underwriting-rule readiness, ten; communications dependency, ten; mileage-correction decision, twenty; risks, escalations and next papers, twenty.
Item 6: decision requested. Agree where the superseded offer will be retained after a customer corrects annual mileage, and confirm the record on which Customer Service may rely.
Evidence presented. Page complete; policy service ready; underwriting rule approved; procedure drafted. Architecture recommended the policy store, Data the event history, and Compliance a record of offer shown and terms accepted.
Discussion. The policy store held the current offer but not its viewing history. Event history retained the sequence but did not feed the adviser screen. Customer Service requested a record readable during a call. Architecture noted that interface design was outside the decision.
Preferred direction. The policy store remains authoritative for the current offer; event history retains the sequence. A smaller group will settle the identifier joining them.
Decision record. Complete; proceed subject to Architecture, Data, Compliance, Release and quarterly priority confirmation.
Actions RA-37, RA-41, RA-42 and RA-43. Digital journey circulated, closed. Common identifier and minimum viewing record due before the next forum, open; adviser validation follows.
Action RA-44. Secretariat to convene the smaller group and return its recommendation at the following forum, open.
Forum performance. Attendance, 93 per cent; papers circulated on time, 100 per cent; actions closed by the due date, 82 per cent; new decision papers this month, 11; planned decision capacity, 12; items carried, 4; median age of an open decision, 42 days.
Closing record. The chair noted good progress. The next forum will receive the recommendation and confirm readiness for normal controls. Meeting closed at 11:34; minutes approved without amendment.
Customer outcome at circulation. Online correction of annual mileage remains unavailable.
